E-mail Accounts Explained Print E-mail

E-mail Accounts from Coos Creations

Everything you need to know to get started

ALL of our hosting services include UNLIMITED e-mail accounts, meaning that EVERY member of staff or every way in which you wish to segregate contacts within your company can be achieved at no extra cost. This article explains how different types of e-mail account can keep you in total control of contacts from the Outside World!

E-mail Accounts explained by Coos CreationsExamples of different e-mail accounts might be:

  • This email address is being protected from spam bots, you need Javascript enabled to view it
  • This email address is being protected from spam bots, you need Javascript enabled to view it
  • This email address is being protected from spam bots, you need Javascript enabled to view it
  • This email address is being protected from spam bots, you need Javascript enabled to view it
  • This email address is being protected from spam bots, you need Javascript enabled to view it
  • This email address is being protected from spam bots, you need Javascript enabled to view it (ooh er!)
  • This email address is being protected from spam bots, you need Javascript enabled to view it
  • This email address is being protected from spam bots, you need Javascript enabled to view it

By having various e-mail accounts you can easily distribute various workloads as required. For example, you might start selling a new product. You are unsure of how popular it will be, but you set up a new e-mail account for it anyway: This email address is being protected from spam bots, you need Javascript enabled to view it If it became the next 'Big Thing', you might assign extra staff to deal with that product ONLY. You could then give the e-mail account to a specific member of staff, passing all contact related to that product to them, in seconds and with little effort.

Adding a New E-Mail Account

Adding a New E-Mail Account

You will need the Welcome E-mail you were sent when your new site was set up. Contact us if you don't have this!

To add a new e-mail address to your hosting account, carry out the following:

  1. Log in to your control panel here (opens in a new window, so go ahead and click it now!) You will need the user name and password we sent you when the account was set up for you.
  2. Once the main control panel opens, select 'Email Configuration', either by clicking the icon in the main page, or in the main menu
  3. By clicking 'Email Summary' at this stage will give you an overview of your current accounts

Next you will need to decide which type of e-mail account you wish to set up.

Below is a list of account types available:

Standard E-mail Account

Standard E-mail account type

For use with software such as Microsoft's Outlook / Express, Mozilla's Thunderbird (our favourite), Macintosh Mail, or even using Web Mail, similar to Hotmail, Yahoo Mail or GMail.

This is the most common type of e-mail account and is best if you wish to receive e-mails at a particular address (such as This email address is being protected from spam bots, you need Javascript enabled to view it ), but to also SEND mail from this address too. Here is how to set one up using the control panel we logged in to earlier:

  1. Select 'Email Configuration' as we did before
  2. Select 'Mail Boxes' from the list in the main body, or from the sub-menu in the main menu
  3. At the bottom of this page you will see a list of accounts already set-up. There might not be any yet!
  4. Under the heading 'Add a New Mail Box', type in the address you would like to see BEFORE the '@' sign. This could be a name, or 'info', 'sales' etc.
  5. Set a password for the e-mail account. Make sure it is a good password!
  6. Click 'Update Now'
  7. The new e-mail address should now appear in the list at the bottom of the page

Extra Easy for Outlook and Outlook Express Users!

If you plan to use either Outlook or Outlook Express, you will notice the link to the right of your newly created email account that says 'Activate in Outlook Express' and 'click here'. By clicking this link a file will run that will automatically install the new account on your e-mail program.

Simply say 'yes' to the next few options that will follow once you click 'click here' in the Control Panel.

Read on for more info on other types of e-mail account.

 E-mail Forwarding

Forwarding E-mail Account

Ideal for temporary e-mail accounts or accounts you do not need to reply FROM.

An example of this type of account would be This email address is being protected from spam bots, you need Javascript enabled to view it Here's how the process would work:

  1. A customer writes an e-mail to This email address is being protected from spam bots, you need Javascript enabled to view it
  2. The e-mail is automatically forward to you at This email address is being protected from spam bots, you need Javascript enabled to view it
  3. You reply to the customer using This email address is being protected from spam bots, you need Javascript enabled to view it
  4. Result is achieved or communication continues...

Setting up a Forwarding E-mail Account

To set up an account that sends e-mails to any other e-mail account (even an e-mail account at a TOTALLY different domain name, like hotmail, or btconnect!), do the following:

  1.  Log in to the Control Panel as described before
  2. Click 'Email Configuration' as we did before also
  3. Select 'Email Forwarding' from the sub-menu or from the list in the main body (by clicking 'Configure')
  4. Type in the address you want customers / clients to use, such as 'specialoffer' before the '@' sign
  5. Enter the destination address, which could be This email address is being protected from spam bots, you need Javascript enabled to view it , This email address is being protected from spam bots, you need Javascript enabled to view it or whatever suits you best!
  6. You can also choose to reject or ignore messages to these addresses. Rejecting a message will send a notice back to the sender. Ignoring them will simply delete the message from our system.
  7. Click 'Update Now'
  8. You should now see this instruction in the list below.

Catch-All E-mail Accounts

Catch-All E-mail account

We do not use these, because they are often subject to SPAM abuse, but it might prove useful for short periods of time.

If you apply to many membership sites, you might want to use a catch-all account to find out who is not being secure with your details.

For example...

...if I were to register on yahoo, I could use This email address is being protected from spam bots, you need Javascript enabled to view it (not a real account, just an example!). Then if I started getting junk e-mail being sent to This email address is being protected from spam bots, you need Javascript enabled to view it I would know who to complain to!

We do not use these account types, because you are more likely to get large amounts of SPAM (e-mails sent to This email address is being protected from spam bots, you need Javascript enabled to view it , etc), but here is how to set one up if you need it:

  1. Log in and select 'Email Configuration' as before
  2. Select 'Catch All Email Forwarding' from the sub-menu or list on the page
  3. Enter the address you would like all mail to be sent, such as your main Company e-mail address
